Catering = number of guests × food and drink per guest. The other ten lines are the amounts you enter. The contingency is a percentage of the sum of all categories and is added on top; total planned is that sum plus the contingency. Budget left is your budget minus the total, shown in red when you are over; budget used is the total as a share of your budget. Cost per guest is the total divided by the number of guests. Months to the wedding are counted from today to the date you enter; set aside per month is the total divided by those months, or the whole total when less than a month is left. Every amount must be zero or more, guests a whole number of at least 1 and the contingency between 0 and 50%: with an invalid value no result is shown.
Planning everything in one file? The Ultimate Wedding Planner adds the guest list with RSVPs, the seating chart and the 12-month checklist to the budget and vendor sheets.
FAQ
How much does a wedding cost per guest?
It depends on the venue, the menu and the city, so the calculator does not assume a number: it divides your total planned spending by your guest count. Catering is the only line entered per guest; everything else is a fixed amount, so adding guests moves the total less than you might expect.
What should the contingency cover?
Things that are not on the list yet: overtime, delivery fees, extra guests, alterations, tips. Ten percent is a common starting point; set it to zero if you prefer to see only the amounts you have typed in.
How is «set aside per month» worked out?
The total planned spending divided by the months between today and your wedding date. If the wedding is less than a month away the calculator shows the whole amount.
Is this the same as the Wedding Budget & Vendor Tracker on Etsy?
No. This page gives a quick estimate. The Wedding Budget & Vendor Tracker is an Excel file with a dashboard per category (budget, planned cost, paid, still due, % used), a vendor list with quote, final cost, deposits and balance due date, and the upcoming payments sorted by date.
